Personal information we collect

  • Contact and trade partner enquiries: your name, company, email address, phone number and the content of your message.
  • Job applications: your name, contact details, address, the position and location you are applying for, availability, employment history, résumé and any other information you choose to provide.
  • Technical information: when you visit our website, we automatically collect information such as your IP address, browser type, device information and pages visited. Some of this is collected through cookies and similar technologies (see “Cookies” below).

Why we collect it

  • To respond to your enquiries and communicate with you about our services.
  • To assess job applications and contact candidates.
  • To evaluate potential trade partners and subcontractors.
  • To operate, secure and improve our website.
  • To comply with legal and regulatory obligations.

We collect only the personal information that is necessary for these purposes, and we use it only for the purposes identified at the time of collection unless you consent to a new purpose or the law permits or requires it.

Consent

By submitting a form on this website you consent to the collection and use of your personal information for the purpose of that form. We will only send you commercial electronic messages (such as newsletters or promotional emails) if you have given express consent by checking the consent box on our forms, in accordance with Canada’s Anti-Spam Legislation (CASL). Every such message identifies us and includes a simple way to unsubscribe. You may withdraw your consent at any time by contacting our Privacy Officer, subject to legal or contractual restrictions.

Cookies and similar technologies

We use strictly necessary cookies to make the website work. We use analytics or other non-essential cookies only if you accept them through our cookie banner, and you can change your choices at any time. Technologies that can identify, locate or profile you are turned off by default. For details, see our Cookie Policy.

Sharing and disclosure

We do not sell your personal information. We share it only with service providers who help us operate our business and website (for example, website hosting, email delivery, form processing and recruitment tools), with our affiliated companies where needed for the purposes above, or where required by law. Our service providers are bound by contract to protect your information and use it only on our behalf.

Storage and transfers outside Quebec and Canada

Martin ICS and some of our service providers are located in the United States, so your personal information may be stored or processed outside Quebec and Canada and may be subject to the laws of those jurisdictions. Before communicating personal information outside Quebec, we assess whether it will receive adequate protection, as required by Quebec law. Our main service providers are our website hosting provider, Twilio SendGrid (email delivery) and Google (reCAPTCHA spam protection), all located in the United States.

Retention

We keep personal information only as long as necessary to fulfil the purposes for which it was collected or as required by law, after which it is securely destroyed or anonymized. Enquiries submitted through our website are kept for up to two years, and unsuccessful job applications for one year, unless you ask us to delete them sooner.

Safeguards

We protect personal information with physical, organizational and technological safeguards appropriate to its sensitivity, including access controls, encrypted connections and limiting access to employees and providers who need it.

Confidentiality incidents

If a confidentiality incident involving your personal information presents a risk of serious injury, we will notify you and the relevant privacy regulator (the Office of the Privacy Commissioner of Canada and/or the Commission d’accès à l’information du Québec) as required by law, and we keep a register of incidents.

Your rights

Subject to applicable law, you have the right to:

  • access the personal information we hold about you and learn how it has been used and disclosed;
  • ask us to correct inaccurate or incomplete information;
  • withdraw your consent;
  • in Quebec, ask us to stop disseminating your information or de-index any hyperlink attached to your name, and request that computerized personal information you provided be communicated to you or to another organization in a structured, commonly used technological format;
  • be informed when a decision about you is based exclusively on automated processing.

To exercise these rights, contact our Privacy Officer. We will respond within 30 days. We may need to verify your identity before responding.

Complaints

If you have a concern about how we handle your personal information, please contact our Privacy Officer first. You may also contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information du Québec.
